Phases of Change Communications
Introduction
Awareness of the phases of change communications helps to ensure that messaging evolves over the lifecycle of a change initiative:
Phases of Change Communications
1. Prepare/Awareness Phase
Purpose: Build understanding and readiness.
Focus: Why change is needed, the vision, and context.
Key Activities:
- Identify stakeholders and map their influence/needs.
- Develop core messaging (headline + supporting points).
- Engage leaders as sponsors.
- Anticipate resistance and prepare FAQs.
Goal: Stakeholders know the change is coming and why it matters.
2. Engage/Buy-in Phase
Purpose: Create commitment and participation.
Focus: Stakeholders’ emotional and rational connection to the change.
Key Activities:
- Two-way communication: workshops, listening sessions, Q&A forums.
- Storytelling and real-life examples to illustrate benefits.
- Involve people in co-design where possible.
Goal: People understand the impact, feel heard, and start supporting the change.
3. Implement/Action Phase
Purpose: Guide stakeholders to adopt new behaviours, tools, or processes.
Focus: Practical guidance and reinforcement.
Key Activities:
- Provide step-by-step instructions, training and resources.
- Use nudges, reminders, and visible cues to drive behaviour.
- Celebrate early wins to motivate adoption.
Goal: People take action, begin using new systems or processes, and integrate them into daily work.
4. Reinforce/Sustain Phase
Purpose: Embed change and prevent regression.
Focus: Continuous reinforcement and adaptation.
Key Activities:
- Ongoing communications highlighting successes and lessons learned.
- Monitor adoption metrics, engagement surveys, and feedback.
- Adjust communications or support if gaps appear.
- Recognize and reward behaviours aligned with the change.
Goal: The change becomes “business as usual,” and stakeholders sustain new behaviours
Visual Tip:
- A simple way to represent this is as a linear timeline or a wheel with 4 segments:
Prepare, Engage, Implement & Reinforce
Prepare = build awareness
Engage = create buy-in
Implement = drive action
Reinforce = embed and sustain
Summary
Each phase requires different messaging, channels and techniques, but all must be aligned with the overall vision and strategy.
